What is the easiest way to change a user’s extension number in MyOperator?
Quick answer
You can update any user’s 2-digit extension (10-99) in less than a minute from the MyOperator web panel: Manage → Users → Edit → Extension → Save.
When should I use this guide?
Use these steps if you need to avoid extension conflicts, onboard a new teammate, or renumber an employee who moved departments. You must be in an Admin or Owner role to proceed.
1. Prerequisites & limitations
Requirement | Value/Note |
|---|---|
Role needed | Admin or Owner |
Valid extension range | 10-99 |
Uniqueness | One extension per user |
Effect latency | < 30 seconds after "Save" |
Not supported | Mobile app, API (coming soon) |
2. When this won’t work?
- You cannot assign an extension already in use.
- 1-digit or 3+ digit extensions are currently unsupported.
- If the user is part of a live call queue re-sync, you must wait until the queue is idle.
3. Step-by-step (web)
- Log in to the MyOperator web panel.
- From the top navigation bar, select Manage → Users.
- Find the user and click Edit.
- In the Extension field, type the new 2-digit number (10-99).
- Confirm it shows "Available" (green tick).
- Click Save.
- Wait for the success banner: "User updated successfully."
4. Workflow
5. What to expect after saving
- IVR routing and internal dialling switch to the new extension within ~30 seconds.
- All historical call logs remain mapped to the user (not to the old extension).
- Team members’ desk phones/softphones auto-refresh after their next registration cycle (max 2 minutes).
6. Troubleshooting & edge cases
Problem → Fix
- "Extension already exists" → Choose an unused number or delete the conflicting user.
- "Permission denied" → Ask an Admin/Owner to grant you the "Manage Users" right.
- Calls still going to old extension after 5 min → Clear browser cache, log out/in, or contact support.
7. Escalation & next steps
Still stuck?
- Email support@myoperator.com with subject "Extension Change Issue – Account #12345".
- Attach a screenshot of the error banner and the extension numbers involved.
